What is Renewal Manager?
ConnectiCare's Renewal Manager allows you to access your renewing small employer groups online. The Renewal Manager allows you to view your renewal, view a ConnectiCare suggested alternative plan, quote alternatives, generate renewal packages that can be emailed or faxed and submit renewal responses online. The Renewal Manager is easy to use and is available to any registered producer.

How do I find / search for my renewing groups online?
Always select the renewal effective date that you are working with as a starting point for your search criteria. To narrow your search, you may enter a group number, name, or other criteria as defined on the search page. The search page is capable of finding results that "start with" a current letter or letters. For example, if you are trying to locate Sam's Pet Grooming, you may enter "S" or "Sa" in the Group Name field. If you do not know the specific criteria and want to view your renewing book of business, just select the renewal month and click on submit

How do I renew my group online?
Once you have located a specific group via Renewal Manager, you will be brought to the Search Results page, which will provide you with summary information about the group. To renew the group, select the View/Renew link from the Action Column. You will then be brought to the Renewal Options page, which will display the current plan with current rates, current plan with renewal rates, a ConnectiCare suggested alternative plan and a requote option for you to perform "what if" scenarios. Once you know the group's choice for renewal, click on the RENEW THIS PLAN button in the appropriate column. You will then be guided through a confirmation process. Once renewed, you will receive a confirmation number and the status of the record will be "confirmed".

How do I change the prescription drug option for a renewing group?
Once you have located a specific group via Renewal Manager, you will be brought to the Search Results page, which will provide you with summary information about the group. To renew the group, select the View/Renew link from the Action Column. You will then be brought to the Renewal Options page, which will display the current plan with current rates, current plan with renewal rates, a ConnectiCare suggested alternative plan and a requote option for you to perform "what if" scenarios. To change the prescription drug option, select the appropriate option from the column labeled "requote option" and then click on RECALCULATE. Once you know the group's choice for renewal, click on the RENEW THIS PLAN button on the appropriate column. You will then be guided through a confirmation process. Once renewed, you will receive a confirmation number and the status of the record will be "confirmed". Remember that the prescription drug option must be the same for all plans/ divisions associated with a group with the exception of CSEHRP and Medicare plans.

How do I make sure my renewal response has been received?
Once you renew online, you will receive a confirmation number that will tell you that the submission was received. The status of the group will change from Action Needed to Confirmed as well.

What if I do not renew a group online?
If a renewal response is not received by the first of the month prior to the group's effective date, then the group will default to the current plan and renewal rates.

How do I undo a renewal online?
You may change a confirmed renewal choice up to the first of the month prior to the group's effective date. To do this via Renewal Manager, find the group and select the Action link "Change Status". Change the status back to either Action Needed or Requote Option. The group will then be in an unconfirmed state. If you do not respond by the first of the month prior to the group's effective date, the group will default to the current plan and renewal rates.

What if a group no longer wants to offer a plan design as an option?
You may discontinue an option for a group at the time of renewal. For example, triple to dual or dual to single options. To do this via Renewal Manager, find the group and select the Action link "Change Status". Change the status back to Do Not Renew and select an appropriate reason from the drop down box. If the group would like to terminate coverage, the Small Group Sales Department requires written response.

How do I terminate coverage for a group at the time of renewal?
Group coverage may not be terminated using the Renewal Manager. To terminate coverage, ConnectiCare requires written response submitted to ConnectiCare's Small Group Sales Department.

How often is the census information updated on Renewal Manager?
Every 24 hours, the Renewal Manager is updated with the latest census and group information from our administrative systems.

What is the cutoff for processing an online renewal?
You have until the first business day of the month prior to the group's effective date to respond. For example, a group with a 1/1/04 effective date requires a response by 12/1/03. If you do not respond, the group will default to the current plan and renewal rates.

When can a group change their plan?
We can only make plan changes (i.e., changes to benefits plans, waiting period, groups size, region) on a group's renewal date. Please make sure any requested changes are noted on the renewal form and returned to ConnectiCare by the date requested.

How long are rates guaranteed?
Rates are guaranteed for one year. If your renewal date on a group is January 1st, rates will not change until January 1st of the next year.

If a group changes size during the year, when do their rates change?
If a group increases in size during the year, and that increase in size changes their rating size (1-2, 3-9, or 10-50), this reflection of a new size and the appropriate rates will be done at the groups next renewal.

A group’s size has changed, what do I need to send ConnectiCare to verify this?
A new UC2 or UC5a in CT, WR-1 in MA, or enrollment form(s) showing the effective dates of coverage for those people who need to be reflected in this larger group size, or
Confirmation of Eligibility Form.

How is group size determined?
ConnectiCare determines group size by total eligible full-time employees working at least 30 hours per week.
